Types of data which are subject to the processing:
The processed data are mainly:
- Personal and identification data: name, surname, sex, date and place of birth, nationality, residence/domicile, fiscal code and contact details (e-mail and telephone), details of ID card and copy thereof;
Details on the subject university career;
Details on the subject professional career;
Account data (username, password);
Health, economic / fiscal and judicial data.
Purposes of the processing:
The processing of personal information is aimed at:
- Managing personal authentication credentials, necessary for accessing the administrative area (in which several services are available) and suitable for uniquely identifying the user;
- Providing timely feedback - also by e-mail or telephone - to specific requests made by students at the time of their enrolment and throughout their studies;
- Providing information on the courses;
- Providing distance learning (including activities such as tracking access to the platform, managing the electronic curriculum, planning and conducting examinations, managing examination reports);
- Managing administrative and economic relations;
- Applying any discounts when the data subject declares that they belong to bodies that have an agreement with the University;
- Sending, upon explicit and separate consent by the data subject, advertising information on training events organised by the University and on community development;
- Fulfilling obligations under national, European and international laws and regulations;
- Fulfilling specific requests from the competent authorities;
- Providing educational guidance activities;
- Conducting entrance exams, granting equivalence or verifying entry requirements;
- Providing courses and managing students’ University career (from enrolment to graduation);
- Providing courses and managing the University career during students’ mobility experiences;
- Allowing students to carry out internships and job placement activities;
- Carrying out statistical and teaching evaluation surveys;
- Disseminating the final paper or any related elements;
- Providing tutoring, assistance and social inclusion services;
- Promoting the right to education through services and activities;
- Carrying out disciplinary proceedings;
- Managing incoming students during their international mobility;
- Managing direct web access to the Students and Graduates database;
- Communicating University activities;
- Managing institutional bodies and offices;
- Managing employment;
- Providing professional training and refreshment;
- Managing research projects.
Processing modalities:
the processing of personal data will be carried out in compliance with the applicable legislation and in accordance with the principles of lawfulness and fairness as expressed in the GDPR. Personal data will therefore be collected and stored exclusively for the purposes set out in this notice, and will be adequately and constantly updated.
Personal data are protected by the appropriate security measures adopted by officers appointed for this purpose.
Automated decision-making processes:
automated decision-making processes are not provided.
Conservation period:
the data will be stored for a period of time not exceeding the purposes for which they were collected and the obligations provided for by the applicable legislation in force.
Obligation to provide data:
the provision of personal data by the user is optional: however, in the event of non-conferral by the data subject, it will be impossible to conclude the contract and carry out the service requested.
Scope of data communication:
the data, collected and processed exclusively for the above-mentioned purposes, are disclosed to the subjects who implement the contract and the services relating to it, as well as to any external subjects who deal with the management of certain activities (e.g. CINECA as an inter-university consortium at the service of the national academic system).
The personal information of the data subject may be disclosed to public entities in fulfilment of specific legal obligations or to private entities, including partners, in fulfilment of specific contractual obligations.
Rights of the data subject:
at any time, the data subject may exercise the right to:
- Obtain from the controller confirmation as to whether or not personal data concerning them are being processed;
- Access the following information: the purposes of the processing; the categories of personal data concerned; the recipients or categories of recipient to whom the personal data have been or will be disclosed and, where possible, the envisaged period for which the personal data will be stored;
- Obtain from the controller the rectification and erasure of personal data;
- Obtain restriction of processing;
- Receive the personal data in a structured, commonly used and machine-readable format and have the right to transmit those data to another controller without hindrance from the controller to which the personal data have been provided;
- Object to the processing of personal data at any time even when processed for direct marketing;
- Request from the controller access to personal data and their rectification or erasure or restriction of processing of personal data concerning the data subject in addition to the right to object to such processing or receive the personal data in a structured, commonly used and machine-readable format;
- Withdraw their consent at any time. The withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal;
- Lodge a complaint with a supervisory authority.
